Members of the default administrator role, or in some cases, custom roles with the appropriate administrative privileges, can configure extensions that add to the existing capabilities of your organization.
Enable Workflow Management
The Workflow Management organization extension enables ArcGIS Workflow Manager to complete workflows on behalf of your organization members. This includes all tasks that a member has the privileges to perform, such as creating and sharing an item and editing data. Workflow Manager cannot perform tasks that require administrative privileges.

This extension is only available if Workflow Manager Server is configured for your organization.
To enable this extension, complete the following steps:
- Verify that you are signed in as a default administrator.
Note:
Members of custom roles with administrative privileges cannot enable this extension.
- At the top of the site, click Organization and click the Settings tab.
- Click Organization extensions on the left side of the page.
- Under Workflow Management, turn on the Allow workflow manager to complete workflows on behalf of the participating users toggle button.
Enable location sharing
Location sharing is an organization-wide capability that enables administrators to track the locations of users and their previous movements. Enabling location sharing creates a location sharing layer to which licensed users in your organization can upload their locations using the Field Maps, QuickCapture, Survey123, or Indoors mobile app. Users only see their own tracks, and additional permissions are required to view the tracks of others.
To enable this extension, complete the following steps:
- Verify that you are signed in to your organization as a default administrator or custom role with the following privileges:
- General privileges
- Create, update, and delete
- Share with organization
- Publish hosted feature layers
- Administrative privileges
- Manage licenses
- Utility services

- General privileges
- At the top of the site, click Organization and click the Settings tab.
- Click Organization extensions on the left side of the page.
- Click Enable location sharing.
Your organization must have the spatiotemporal big data store (one of the types of data stores available through ArcGIS Data Store) configured.
- In the Location Sharing window, click Continue.
Location sharing is enabled, and a location sharing layer is created. As the administrator who enabled location sharing, this layer is owned by you. Additionally, you also own the location sharing folder, which is created to store items (layers, views, and so on) required for location sharing. This folder can be found in your content.
Administrators in your organization can create track views using the Track Viewer web app to share the last known location and track data with other members. As the administrator who enabled location sharing, these track views will be owned by you.
Note:
If your role as an administrator who enabled location sharing is changed to a role that does not have the required privileges to this enable this extension, other administrators will not be able to create track views. If this happens, the ownership of the location sharing layer and its views can be transferred to a different administrator, allowing other administrators to continue creating track views.
Manage location sharing
Once location sharing is enabled, it can be managed in the following ways:
- Administrators in your organization can change the duration for which location tracks are retained, which is set to 30 days by default. Location tracks older than the this duration are deleted from the location sharing layer.
- Administrators can pause location sharing. While location sharing is paused, the location tracks are in read-only mode. New tracks will not be collected, and mobile users will not be able to upload tracks to the location sharing layer.
- As the administrator who enabled location sharing, only you can disable it. When location sharing is disabled, all items associated with location sharing (layers, views, groups, and so on) are deleted. The privilege to view location tracks will be retained by any roles to which it was assigned.
